This policy explains what personal data Baobab Tree AB (“Scoutable”, “we”) processes when you use the Scoutable apps and websites, why we process it, and what rights you have. We are the data controller. You can reach us at hello@scoutable.se.
The short version: your game footage stays on your computer — Scoutable processes video locally and never uploads your source files. We store the account and team data needed to run the service, in the EU wherever possible. We don’t sell data and we don’t track you across other companies’ apps or websites. On this website, analytics run only if you accept them. Inside the apps, once you have an account, we measure product usage and collect crash reports to keep Scoutable working — see analytics and diagnostics in the apps.

Your game footage
The Scoutable desktop app reads your video files directly from your machine. Source footage is never uploaded to our servers. We take this seriously because game film — especially of youth players — has privacy implications most coaching tools ignore.
- When you explicitly share or export clips (“Clip & Ship”, sharing a playlist, or “Send to my phone”), only the rendered clips you selected are uploaded to our media storage (Cloudflare R2) so recipients can stream them.
- Public highlight links (the “Send to my phone” QR feature) use an unguessable address, are not listed anywhere, and expire after 30 days, after which the files are deleted.
- You are responsible for having the right to use the footage you import, including any consents required for footage of minors. See our Terms.
Data we process
- Account data — email address, name, password (hashed), and your declared role (coach or player).
- Organization and team data — which clubs, organizations and teams you belong to, your role in them, and invite codes you use or create.
- Content metadata — playlists, clip titles and timestamps, labels, notes, and imported game event data (from official league play-by-play feeds). This is metadata about games, not your video.
- Watch progress — which shared clips you have watched, so coaches can see whether shared film has been viewed.
- Payment data — handled by Stripe. Card details never touch our servers; we store your subscription status and a Stripe customer reference.
- Support and feedback — messages you send us or submit through in-app feedback.
- Device information — when you sign in to an app, we record the devices on your account so you can see and remove them, and so we can enforce the per-user limits in our licence terms. This is the device name your device reports (e.g. “Leonard’s iPhone”), the platform, the last time it was active, and a device identifier the operating system gives us — Apple’s identifier for vendor on iOS, which is specific to our apps and resets when you delete them. We never store that identifier as-is: it is turned into a salted one-way hash on our servers, so it cannot be read back or matched to you anywhere else.
- Analytics — product usage events (e.g. “game imported”, “playlist created”, “clip watched”) via PostHog (EU region), together with your user id, email address, app version, device type and operating system, and an approximate location — city level, derived from your IP address, never from your device’s location services. IP anonymisation is switched on, so the address itself is discarded and only that approximate location is kept. We do not record your screen: session recording is switched off in all Scoutable apps. On this website analytics run only if you accept them (see Cookies); in the apps see below.
- Error data — crash reports and error diagnostics via Sentry (EU hosting) to keep the apps working. We do not attach your name, email or IP address to these reports.
Why we process it
- To provide the service (contract): accounts, teams, playlists, sharing, watch tracking, payments.
- To improve and secure the service (legitimate interest): error diagnostics, product usage analytics inside the apps, the device list, and enforcing the per-user limits in our licence terms. We have weighed this against your privacy: the data is limited to what the apps need, it is never sold, never used to profile you and never combined with data from other companies. You can object at any time — see analytics and diagnostics in the apps.
- Analytics on this website (consent): usage analytics on scoutable.se run only after you accept them in the cookie banner.
- Emails: we send transactional emails (e.g. a playlist was shared with you, license expiry warnings). We do not send marketing email without your consent, and marketing email always has an unsubscribe link.
Analytics and diagnostics in the apps
The cookie banner on this website covers this website. The Scoutable apps — macOS and Windows desktop, the web app at app.scoutable.se, and the iPhone and Android apps — work differently, and we would rather say so plainly than bury it.
Once you are signed in, the apps send product usage events and crash reports as described above. There is no separate opt-in prompt for this: we rely on legitimate interest, not consent, because we need to know which features are used and what is breaking in order to run the product at all. What that means in practice:
- It is measurement, not tracking. There is no advertising SDK in any Scoutable app, we do not use Apple’s advertising identifier, and nothing is shared with ad networks or data brokers. Your activity is never followed onto other companies’ apps or websites.
- Events record what was done, not what is in your film — that a playlist was created or a clip was watched, never the video itself, and never clip titles, notes or player names.
- The approximate location in analytics comes from the IP address your device uses to reach us, resolved to a city and then discarded — we keep the city, not the address. It is accurate to a few kilometres at best. The apps never ask for or read your device’s location.
- You can object. Email us at hello@scoutable.se and we will exclude your account from product analytics. Doing so changes nothing about how the apps work for you.
Apple requires us to summarise the same information as privacy labels on the App Store listing, and Google as a data safety form on Google Play. Those summaries describe exactly what this section describes; if you ever spot a discrepancy, tell us and we will fix it.
Who we share data with
We use a small set of processors to run Scoutable. We do not sell personal data.
- Supabase — database and authentication (EU region)
- Cloudflare — media storage for shared clips
- Stripe — payments and subscription billing
- Resend — transactional email delivery
- Sentry — error monitoring (EU region)
- PostHog — product analytics (EU region; consent-gated on this website, legitimate interest in the apps)
- Vercel — website hosting
Where a processor operates outside the EU/EEA, transfers rely on the European Commission’s standard contractual clauses or an adequacy decision.
Retention
We keep your data while your account is active. If you delete your account (available in-app and on the web under Profile), your personal data is deleted. Shared highlight files are deleted automatically about 35 days after creation. Payment records are kept as required by Swedish accounting law (7 years).
Analytics events and error reports are kept only as long as they are useful for understanding how the product is used and what is breaking, and are deleted when they no longer are. Device entries live for as long as the device stays on your account — remove one under Profile and the entry, including its hashed identifier, goes with it.
Your rights
Under the GDPR you can request access to, correction of, or deletion of your personal data; restrict or object to processing; and receive a copy of data you provided (portability). You can delete your account yourself in the app. Contact hello@scoutable.se for anything else. You can also lodge a complaint with the Swedish data protection authority, IMY (Integritetsskyddsmyndigheten).
Cookies and analytics on this website
This website sets no tracking cookies by default. If you accept analytics in the cookie banner, we enable PostHog to understand how the site is used (pages viewed, downloads clicked). Your choice is stored in your browser. Declining changes nothing about how the site works.
Changes
If we change this policy in a way that matters, we’ll note it here and update the date at the top. Significant changes affecting registered users are announced by email.
